A pet product RFQ should give every supplier the same commercial and technical baseline: the exact product and material specification, order quantity, packaging and labeling requirements, testing expectations, requested lead time, price-break structure, Incoterm and named place. It should also force suppliers to separate inclusions, exclusions and one-time charges. When those inputs are controlled, buyers can compare like with like instead of choosing between three quotes built on three different assumptions.

Use the editable template below to brief shortlisted suppliers and record their answers. The workbook contains an anonymized RFQ field table and a three-supplier comparison matrix. Supplier names and all monetary values are intentionally blank; the template version is dated October 19, 2026.

Define the quote basis
Start with the variables that make prices comparable. Give the RFQ a reference number and revision, specify the quote currency, list the requested quantity for each SKU and color, and ask for the same price breaks from every supplier. A unit price without these controls is not a usable benchmark.
State the required Incoterm, year and named place in one line—for example, “FOB Ningbo, Incoterms® 2020.” The ICC explains that the 11 Incoterms® 2020 rules allocate tasks, costs and risks between seller and buyer. The rule alone is incomplete without a precise named port, place or destination.
Ask suppliers to return a dated quotation with a validity period and to identify every assumption. Also separate the sample lead time, production lead time and ready-to-ship date. “30 days” can mean 30 days from deposit, from artwork approval or from golden-sample approval; those are not equivalent commitments.
| Control field | What to request | Why it matters |
|---|---|---|
| RFQ revision | Exact document version quoted | Prevents a supplier from pricing an obsolete specification |
| Quantity | Units by SKU and color, plus identical price breaks | Exposes MOQ and scale assumptions |
| Trade term | Incoterm 2020 and named place | Defines the quoted logistics boundary |
| Timing | Sample, production and ready-to-ship dates | Separates development time from mass production |
If supplier model selection is still open, first review how to choose a pet product manufacturer in China. This page is narrower: it standardizes the information sent after a supplier shortlist exists.
Specify product and materials
Replace marketing descriptions with measurable requirements. “Premium dog collar” cannot be priced consistently. A sourcing RFQ should identify the SKU, intended use, pet size range, dimensions, tolerances, net product weight, material composition, component grades, hardware, colors, artwork and logo method.
For a collar, that may mean webbing composition and width, buckle material and release requirement, D-ring material and finish, stitch type, logo position, finished-length tolerance and approved color reference. For a bowl, it may mean material grade, capacity, rim diameter, wall thickness, base treatment, surface finish and food-contact documentation expected for the destination market.
Reference a controlled specification revision and an approved physical sample whenever one exists. A catalog photo or old sample should not silently become the production standard. The pet product golden sample and specification guide explains how to lock construction, tolerances, visual criteria, packaging and revision status before mass production.
Do not ask a supplier to decide the regulatory scope for you. Identify the destination market, intended use and product category, then obtain qualified advice on the applicable rules. In the United States, for example, the CPSC states that regulated general-use products may require a General Certificate of Conformity supported by testing or a reasonable testing program; the exact obligation depends on the product and rule.
Add packaging and labeling requirements
A quote is incomplete until it says what packaging is included. Define the unit pack, inserts, protective materials, retail artwork, label size and position, warning or care information, barcode placement, inner-pack quantity, master-carton quantity, carton marks, carton dimensions, gross weight and any transit-test requirement.
Keep product, packaging and logistics inputs connected. A rigid color box may increase unit price, tooling, carton volume, assembly time and damage protection at once. If Supplier A includes it while Supplier B assumes a polybag, their unit prices describe different deliverables.
Use a controlled barcode identifier rather than asking the supplier to invent one. GS1 defines the Global Trade Item Number (GTIN) as the identifier for trade items. Provide final GTIN and artwork data when available, and ask the supplier to confirm print quality and placement against the approved packaging file.
Ask each bidder to show packaging setup, plates, molds, minimum print quantities and packaging waste allowances separately. That makes one-time costs and order-dependent costs visible before award.
State testing logistics and Incoterms
Testing lines should name the requirement, responsible party, timing and evidence. “Pass testing” is too vague. A better instruction says which product or material is tested, the destination market, the protocol or buyer-approved laboratory, sample selection method, report language, report holder and whether the quoted amount includes retesting.
Also define the quality-control gate: pre-production sample approval, in-process checks, pre-shipment inspection, defect classification, acceptance criteria and responsibility for rework or reinspection. These inputs keep a low quote from winning merely because inspection and testing were excluded.

For logistics, request the factory pickup address or port basis, export-carton data and the exact Incoterm named place. Incoterms allocate defined obligations and risk points, but they do not replace a sales contract, product specification, payment terms, title-transfer clause or customs classification. Keep those items explicit.
After quotations arrive, move freight, duty, broker, inspection and destination charges into a separate model. The pet product landed-cost calculator is designed for that next step. Do not confuse a supplier’s quoted unit price with the buyer’s total landed cost.
Compare supplier responses consistently
Normalize the returned quotes before ranking them. First reject or clarify any response that uses the wrong RFQ revision, quantity, material, packaging format or trade-term boundary. Then put each remaining answer into the same comparison matrix.
- Confirm scope: same SKU, specification revision, packaging and testing basis.
- Confirm commercial basis: same quantity tier, currency, Incoterm and named place.
- Separate charges: unit price, samples, tooling, packaging setup, testing, inspection and other stated fees.
- Record timing: sample lead time, production lead time, approval gates and quotation validity.
- Resolve gaps: obtain written answers for exclusions, assumptions and open clarifications before supplier award.
The cheapest-looking line may stop being cheapest after missing packaging, testing, tooling or logistics items are added. Conversely, a higher unit price may include stronger materials, retail packaging and documented quality gates. The decision should follow the controlled specification and total commercial scope—not the smallest isolated number.
Download and use the template: enter the buyer-controlled RFQ fields in yellow, issue the same revision to every bidder, and copy their dated responses into the comparison tab. Keep supplier prices blank until you have actual quotations.

Frequently asked questions
What is the minimum information in a pet product RFQ?
At minimum, include product and material specifications, dimensions and tolerances, quantity by SKU and color, packaging, destination-market testing expectations, requested timing, currency, Incoterm and named place. Require suppliers to list inclusions, exclusions and one-time charges.
Should an RFQ include a target price?
A target can help when it reflects a realistic product and volume, but it should not replace the specification. Buyers may omit it during an initial benchmark or include it as a design-to-cost constraint. In either case, every supplier should receive the same instruction.
How many suppliers should receive the same RFQ?
Send it only to a qualified shortlist large enough to compare capability and commercial fit. Three comparable responses are often more useful than many incomplete quotations. Supplier qualification should happen before sensitive designs or detailed specifications are distributed.
What makes supplier quotes non-comparable?
Common causes are different materials, quantity tiers, packaging, testing scope, artwork assumptions, Incoterms, named places, lead-time starting points and excluded fees. Treat any unanswered field as a clarification—not as zero cost.
Is the RFQ template a purchase order or contract?
No. An RFQ requests structured commercial information. Supplier selection should be followed by controlled specifications, sample approval, a purchase order or manufacturing agreement, and market-specific legal and compliance review.
